Joyce,

I use a very simple system, I'm not sure if it's practical or not, but it works well for me!

Just a simple system of folders and sub-folders for everything. ...

My personal genealogy files are quite simple. It's a single tree program, all in FTM. Photos are attached directly to the program itself. And yes, I have even accidentally deleted a photo from my hard drive, and it was still on my FTM program, which is why I am totally sold on FTM for all my genealogy needs!

My business drive is a series of folders and sub-folders. There is a folder marked "Clients". There are sub-folders listed alphabetically for each client. Because part of my contract with my client's states that if a file is inactive after one full-year I delete that particular file [keeps me from having a huge series of files!] each client folder is followed by the date of the close of the last contract with that client [ie: John Doe 07-22-08; etc.] I realize some people keep their files indefinitely, I just would rather not. My own is enough to hang onto past the one year mark!

In each client's folder I have another sub-folder marked "Correspondence" which has not only emails, but also any postal correspondence with the client. Also a copy of my replies or sent emails/letters to the client. All of their photos are in a sub-folder marked appropriately, "Photos-Digital Records". Genealogy files are kept within the genealogy program. "Report" holds not only the final report of the research project, but I also do a report following each research trip to document who I was researching, what I'd hoped to find, what I did find, etc. And last, there is a folder marked "Contract". There I, of course, put a digital copy of the client contract, along with their payment history [a simple excel document].

My financial records are kept on my internal hard-drive. Both sets of financial records [business and personal] are sub-folders beneath the larger folder "Finances". Beneath each sub-folder is where my "Money Works" program runs both of these areas of my finances.
